WhatsApp · Booking

Booked on WhatsApp at 10:40 pm. In the diary before you open.

Book, a day, a time. Only free slots are offered, and a full day moves the patient on to the next day that has room.

  1. Their language English, Hindi or Marathi, picked once and used for every reply after.
  2. Book, a day, a time Picking the time books it. There is no extra "are you sure" step.
  3. Undo is one tap The confirmation carries Reschedule and Cancel.
  4. Already in the chair list Saved as confirmed, in the same diary your front desk uses.

A first message, a visit, a chart, a bill, a reminder. One patient, one record.

  6. Their phone

Front desk · Patients

One record per patient, read from top to bottom.

Open a patient and everything about them is on one page. The links along the top only jump down the page, so nothing hides behind a tab.

  1. Read before treating Allergies and conditions sit above everything else, and only when there is something to read.
  2. What they owe The balance, and how long the oldest bill has been waiting.
  3. Every visit When, what for, with whom and where it stands. Mark it completed from here.
  4. The mouth as it stands Red needs work, teal is treated. Hover a tooth to see what was recorded.
  5. The case paper One tap to the case paper, and it prints from the same page.

In the chair · Money

From the chair to the counter.

The chart names the teeth, the plan prices the work, and the bill starts from the plan. Each screen picks up where the last one stopped.

  1. Before and after Before is what is wrong with each tooth. After is what you did or agreed to do: here a root canal on 16 and a filling on 36.
  2. The teeth come across Open a plan and the charted teeth are already on it. You add the work, and picking one of your services fills in your usual price.
  3. The bill starts from the plan Raise a bill from the patient's record and the plan's rows and prices are already on it, down to what they owe.

Growth · People to contact

Nobody who got in touch falls through.

Enquiries from WhatsApp and the front desk, and patients due a call back, wait in one queue with a date and an owner.

  1. One queue New enquiries and patients who need chasing sit in one list, oldest promise first.
  2. Nobody has taken this Every row says who owns it and how late it is, so an enquiry nobody picked up shows in red.
  3. Send follow-up One tap sends the follow-up on WhatsApp, and they can book straight from the reply.
  4. Later, or Done Later moves them to tomorrow morning. Done asks how it ended, and anyone written off can be brought back.

For your patients

What your patients see, on their own phone.

A link to confirm their visit, the consent they sign before treatment, and their bill in WhatsApp, where they can keep it.

Interface illustrations · fictional clinic and patients. The assistant's reply is an example: it words each answer itself.
  1. Their own visit link They confirm their visit in one tap or ask for another time, with no account to sign in to.
  2. Consent on their own phone The front desk sends the consent on WhatsApp. They read it and sign with a finger, and it gets its own sheet on the case paper.
  3. Written by the assistant This reply is the model's own wording, so it differs from chat to chat. The amount is looked up from the payments on file, and only when the number matches exactly one patient.
  4. A bill they keep The bill arrives as a PDF in the chat, where WhatsApp keeps it for as long as the chat exists. If it cannot be made into a PDF, a secure link goes instead.

Safe by design

What the assistant is told not to do, and who sees what.

The rules the WhatsApp assistant runs under, and how your clinic's records are kept.

The assistant's rules

  • It is instructed never to diagnose, prescribe or promise a result.
  • Severe pain or swelling, bleeding that will not stop, a facial injury, trouble breathing or a knocked-out tooth: it tells the patient to get urgent dental care now, and flags the chat in your inbox.
  • It is instructed to quote only the services, prices and answers you approved, never a price, discount or offer of its own.
  • It says what someone owes only when their number matches exactly one patient.
  • A patient who asks for a person, or types “human”, is handed to your team.
  • Any chat can be set to “We reply” or “Paused”, and the assistant stays quiet, except for the fixed urgent-care reply if the patient describes an emergency.

Your data

  • Nine staff roles. Each person sees the work their role needs, and nothing more.
  • Every record belongs to one clinic, and each clinic's screens read only its own records.
  • Patients, visits and billing download as spreadsheets whenever you want.

This site shows no certifications, reviews or customer numbers, because there are none to show yet. What it shows is the product, drawn from its own screens.

How your data is protected
